New Customer Training Guide

This guide is the roadmap for getting a new Vū system installed and your team trained. Work through the stages in order — each one links to the detailed page for that step. By the end, your system will be installed and connected, your account and team will be set up, and your operators will know how to run the system day to day.

Stage 1 — Before Installation

Complete these before the install date. Most installation delays are caused by network restrictions, so this stage matters.

  • Learn how the system fits together — the Vū Media Server PC drives the display, and Vū Studio in the browser controls it through the cloud. See System Overview →.
  • Confirm the hardware — if you're supplying your own Windows PC, check it meets the minimums. See System Requirements →.
  • Plan a wired network connection for the media server PC. Wi-Fi is not recommended. See Network Requirements →.
  • Have IT open the required ports and domains. Share Firewall & Ports → with your IT team.
  • Run the network compatibility test on the network the system will use. See Network Compatibility Test →.
  • Decide who the account admin will be — this person completes Stage 3.

Stage 2 — System Setup

  • Connect the hardware — the PC to the display, and the PC to the network by Ethernet. Power both on.
  • Install the Vū Media Server software if it isn't pre-installed. Download it from https://one.vu.studio/vu-one-os/releases. Systems shipped by Vū come with it installed.
  • Wait for the QR code — on first start-up, the display shows a QR code and system ID.
  • Create the admin account and link the display by scanning the QR code. See First Time Setup →.
  • Confirm the connection — the connection indicator in Vū Studio turns green, and your account name appears in the bottom-right of the display. See Connecting to Your Wall →.
  • Play something to prove the full path works end to end. See Your First Playback →.
  • Set up any additional players — more media servers, Web Players, or desktop players. See Connecting a Player →.
  • Configure lighting and cameras, if your system includes them. See Lighting → and Camera Preview →.

Stage 3 — Account Setup

The account admin works through the Account Setup Checklist →, which covers:

  • Confirming the plan and license counts
  • Switching to the Team profile
  • Inviting users as Admin or Member
  • Setting team security options
  • Registering and naming every player
  • Choosing Demo Mode or Session Mode for each player
  • Creating the shared folder structure and uploading core content
  • Connecting cloud services (optional)

Stage 4 — Operator Training

Everyone who will run the system should complete this stage. Allow about an hour, hands-on with the real display.

  1. Find your way around — the Home Screen, the modules, the connection indicator, and the profile menu. See Vū Studio Modules →.
  2. Log in and connect to a display by QR code and by ID. See Everyday Operation — Connecting →.
  3. Put content on screen — an asset from the Library, a scene, and an Experience. See Putting Content on Screen →.
  4. Adjust playback — pause, stop, volume, brightness, and Device Settings.
  5. Upload media and organize it into team folders. See Uploading Media →.
  6. Save a scene and recall it. See Scenes →.
  7. Control several displays from the Display Dashboard, if you have more than one. See Working with Several Displays →.
  8. End the day — clear and sleep the displays. See Ending the Day →.
  9. Know what to do when something goes wrong — restart, send logs, and contact support. See When Something Goes Wrong →.

Operator sign-off: the operator can, without help, connect to the display, play an asset and a scene, stop playback, put the display to sleep, and say how to contact support.

Stage 5 — Admin Training

For admins, in addition to Stage 4:

  1. Manage users and resources on the Account page and Team page — invites, roles, storage and token caps. See The Account Page → and Setting Up a Team →.
  2. Control access to each display with Demo or Session Mode, and approve or remove users on the Sessions page. See Demo & Session Mode →.
  3. Customize the display's idle screens — splash screen welcome message, logo, and screen saver timeout — in Settings. See Settings →.
  4. Group players for multi-display control and create themes. See Player Groups → and Themes →.
  5. Automate opening and closing with scheduled Wake and Sleep tasks. See Automating Opening and Closing →.
  6. Monitor and maintain players — the Fleet view, software updates (Check For Updates in Settings), and remote restart. See Displays Overview → and Remote Restart →.
  7. Use the Operator Menu on the media server PC (F12) for local diagnostics. See Operator Menu →.
  8. Send logs and open a support ticket. See Sending Logs → and Get Support →.

Admin sign-off: the admin can invite a user, switch a player between Demo and Session Mode, approve a user in Sessions, schedule a daily Wake and Sleep, restart a media server remotely, and send logs.

Stage 6 — Creator Training (Optional)

For people who will build content for the system:

  • Experiences — package content into launchable Sessions for tours and briefings. See Experiences →.
  • Canvas — build interactive, multi-page designs. See Canvas Designer →.
  • Gallery — turn a set of photos into one animated screen. See Galleries →.
  • Playlists — build ordered sequences that auto-advance. See Playlists →.
  • Vū AI — generate images, build designs, and automate tasks (uses AI tokens). See AI Assistant →.
